At Jakaranda Children's Home, managing school pick-ups used to be a logistical nightmare.Coordinating which drivers went to which schools to fetch our children was a constant challenge. But with Wellbi, all of that has changed.

Now, we simply export the data of each child and their associated school, print it out, and instantly have a clear plan for our drivers. Impact reporting for donors is much easier and based on reliable information. The graph of the baseline assessment and then the follow-up assessment provide a visible tool to indicate progress and impact.

This system is identifying gaps in service delivery extremely well. We thought that the systems that we use to evaluate the standard of our own services were fine until we started using Wellbi. Hearts of Hope has been a part of Wellbi since February 2022. We had been looking for a monitoring and evaluating system (M&) that could help us provide quantitative reports for donors, as well as ensure that we are tracking the health and development of each child that has been placed with us.

The domains that Wellbi tracks are pertinent to the work that we do with orphaned and vulnerable children (OVC). Each beneficiary has an online profile, where all the documentation can be saved - from court orders, to social work contacts, to school reports and health checks. Baseline assessments are done when a child arrives at Hearts of Hope, and then Wellbi generates monthly, quarterly and yearly assessments enabling us to track each child's progress.

The team at Wellbi, especially Heinrich, has been quick to respond to queries, requests and have formulated individualised notes for us when needed. The personal attention and care has been amazing and we can highly recommend the partnership that we have with Wellbi.

At Ma's for Wellington, supporting our community has always been our priority, but staying on top of everyone's needs used to be overwhelming.

The assessment tool Wellbi has allows us to ask critical questions directly to our community members. Any answers that raise red flags immediately highlight individuals who may need extra support. With Wellbi, we've been able to categorize the individuals we care for: green (doing well), yellow (needs monitoring), and red (requires urgent intervention).

We've even created a visual board to track everyone in these categories. It helps us identify individuals who need immediate intervention, celebrate those who improve from red to yellow or even green, and focus on those who remain in the red category to find ways to help them move forward. What are Wellbi’s minimum system requirements?

To use the Wellbi mobile app, you need:

• iOS: version 14 or higher

• Android: version 8 or higher

The Wellbi portal can be accessed from any device with a stable internet connection

and a modern web browser, so it works on laptops, desktops, and tablets without any

special requirements.

Can Wellbi integrate with existing systems?

Yes, we’re open to integration discussions and have an API to support this. The exact possibilities depend on the software you want to connect, and our teams and developers will need to discuss it to ensure the integration is safe and reliable.

Can we access Wellbi offline?

Yes, the Wellbi mobile app can be used offline to capture information. When you’re without signal or Wi-Fi, the data is safely stored on your device. Once you’re back online, you can sync the information to the Wellbi portal.

Keep in mind that while you can capture information offline, you won’t be able to view or retrieve existing data until you have an internet connection, as Wellbi is a cloud- based system.

Can we customize fields on Wellbi?

Yes! Wellbi allows full customization through both custom notes and individual profile fields. You can design your own note templates and create fields specific to your organization’s needs.

I’m unsure who to contact if I have a problem or question about Wellbi.

You’re never on your own with Wellbi! Our support structure ensures that every
question or issue is handled quickly and by the right person.

If you need help, click on the “?” icon at the bottom right corner of your Wellbi portal
screen and select “Contact Support.” Here, you can log a support ticket. Our support
team will respond within an hour.

If your query is more specific, the support team will notify your client coach, who will
reach out to assist you personally.

How long does the onboarding process take?

On average, onboarding takes about 2 months. The timeline can be shorter or longer
depending on two main factors:
1. How quickly you provide your beneficiary data to our onboarding team.
2. The level of customization you’d like in Wellbi.

Some onboardings can be completed in as little as 2 weeks, while others may take up
to 3 months.

Can I import my current beneficiaries, or do I have to add each beneficiary one by one?

You don’t have to add everyone manually! Just send us your current beneficiary
database or Excel sheets, and our team will handle the bulk import for you. After that,
you can easily add new individuals one by one as they join your organization.
