The Carel du Toit Centre offers crucial early intervention, schooling, therapy, and audiological support to children with hearing loss, guiding them to develop spoken language and integrate into mainstream education. Alongside this, the Carel du Toit Trust manages all fundraising and donor relations to make these services accessible, especially for families who can't afford fees.

Both teams rely on Wellbi every day:

• Operational reporting:

When presenting to donors or auditing service outcomes, we need to know how many children are being seen by audiologists, speech therapists, early interventists, occupational therapists and social workers. Previously, therapists had to dig through their own notes to compile those numbers. With Wellbi, I can quickly generate attendance reports to see who has been seen and by whom.

• Finance and billing:

Our financial department uses Wellbi to export session logs and build pivot tables each month. This lets us accurately calculate invoices per child. In the past, we had to manually tally sessions from paper registers, an error-prone and time-consuming process.

Wellbi has transformed how both our service delivery and financial teams work. Saving countless hours, reducing errors, and improving reporting and accountability.

With Wellbi, we've been able to shift from just running programs to really measuring the impact they make. The attendance tracking gives us a clear picture of who is actually participating in our aftercare. By age, grade, and group. That information has helped us ask important questions, like: if we're consistently seeing 'problem children' dropping out or not attending aftercare, why aren't we aligning our parenting programs to address that directly?

Instead of touching lightly on different areas without making a real shift, we can now see exactly where non-attendance happens and respond with targeted, impact-driven programs. It's not about guessing anymore, it's about knowing, and then acting on that knowledge to improve participation, change attitudes, and ultimately shift behaviour. Wellbi has given us the structure and the insight to make sure our programs truly make a difference.

Wellbi has assisted Give a Child a Family in their quest to make decisions based on data collected as per a recognised framework. A major benefit is the user friendly interface and the capability to collect date offline on tablets or smart phones. We also love the option of customised notes.

At Jakaranda Children's Home, managing school pick-ups used to be a logistical nightmare.Coordinating which drivers went to which schools to fetch our children was a constant challenge. But with Wellbi, all of that has changed.

Now, we simply export the data of each child and their associated school, print it out, and instantly have a clear plan for our drivers. It's so efficient that each driver is assigned to a specific area, reducing unnecessary travel.This means the children no longer have to sit and wait on the bus while driving around to schools outside their area.Instead, they get back faster, giving them more time to focus on academics and enjoy meaningful one-on-one time with our caregivers.

Overall, the program works really well for us.

The access to all the important information is very valuable and gives the opportunity for all staff involved with the residents to immediately gain access to information that helps with the resident's quality of life.

Wellbi is such a great multi-purpose, multi-functional tool to manage the data from your beneficiaries and measure impact and outcome. There has been greatimprovement in our service delivery since using Wellbi. We are able to get feedback more readily from our interventions, and therefor plan more effectively. We are also able to organise our data a lot better, to firstly, get feedback regarding our services, and secondly plan interventions.

We can customise certain functions according to our needs, and make it even more user friendly for the users.

Wellbi is also very affordable and one cannot compare the rates to any other platform like it.

We have used Wellbi for more than a year now and we find it extremely helpful.

Impact reporting for donors is much easier and based on reliable information. The graph of the baseline assessment and then the follow-up assessment provide a visible tool to indicate progress and impact.

This system is identifying gaps in service delivery extremely well. We thought that the systems that we use to evaluate the standard of our own services were fine until we started using Wellbi. Just recently we looked at the graphs of one of our satellite homes and we saw a big gap regarding spiritual care - one of the things that are very important to us as a faith-based organization.

Our beneficiaries do not normally voice their questions or concerns around faith easily. The way the questions in the Wellbi assessment tool were structured brought their concerns out. Without this tool, we would never have picked up the concerns and questions our beneficiaries had about their faith."

Hearts of Hope has been a part of Wellbi since February 2022. We had been looking for a monitoring and evaluating system (M&) that could help us provide quantitative reports for donors, as well as ensure that we are tracking the health and development of each child that has been placed with us.

The domains that Wellbi tracks are pertinent to the work that we do with orphaned and vulnerable children (OVC). Each beneficiary has an online profile, where all the documentation can be saved - from court orders, to social work contacts, to school reports and health checks. Baseline assessments are done when a child arrives at Hearts of Hope, and then Wellbi generates monthly, quarterly and yearly assessments enabling us to track each child's progress.

The team at Wellbi, especially Heinrich, has been quick to respond to queries, requests and have formulated individualised notes for us when needed. The personal attention and care has been amazing and we can highly recommend the partnership that we have with Wellbi.

Wellbi has been an important value-add to the work that Hearts of Hope does. We look forward to working together to developing the M&E system even further."

I would like to express our gratitude and excitement about the Wellbi platform and how we are starting to implement it in our hospital-based palliative care project.

We started our Wellbi journey around November 2024 and the amount of meticulous effort put in by Madelein and the team to personalise the experience for our project has been immense. At Ma's for Wellington, supporting our community has always been our priority, but staying on top of everyone's needs used to be overwhelming.

The assessment tool Wellbi has allows us to ask critical questions directly to our community members. Any answers that raise red flags immediately highlight individuals who may need extra support. With Wellbi, we've been able to categorize the individuals we care for: green (doing well), yellow (needs monitoring), and red (requires urgent intervention).

We've even created a visual board to track everyone in these categories. It helps us identify individuals who need immediate intervention, celebrate those who improve from red to yellow or even green, and focus on those who remain in the red category to find ways to help them move forward. These categories also streamline the referral process for children who need specialized support from social workers, ensuring no one slips through the cracks.

With 259 households, 109 children, 20 disabled members, and 37 volunteers to manage, the ability to conduct assessments and maintain a clear overview of our community has been a game-changer. Wellbi has empowered us to offer more intentional and impactful care where it's needed most.
